Privacy Policy
1. Who this covers
This Privacy Policy explains how Docket Signal, the trade name/DBA of Rolondo Thomas Enterprise, LLC ("Docket Signal," "we," "us"), handles information about:
Visitors and clients: people who visit getdocketsignal.com, request a sample, or have a client account.
People in our records: motor carriers, their officers, and insurance agents and agencies whose business information appears in the public records we compile.
2. Information we collect from you
Contact and business details you give us: name, company, work email, phone, states you work, and notes from our sample and sign-up forms.
Account and setup details: login email, your master-file settings (events, timing, territory, fleet size, lines written), and, for insurance agents, your National Producer Number (NPN), which we use to look up and pre-fill your public license details.
Billing details: handled by our payment processor Stripe. We receive confirmation of payment and limited card details such as the last four digits, never your full card number.
Communications: emails, calls and support requests you send us.
Device and usage data: IP address, browser type, pages viewed and similar information collected automatically when you use the site.
3. Public records we compile
The Service is built from public records, including:
FMCSA registration, authority, BOC-3 and insurance filings: carrier legal and DBA names, USDOT and MC numbers, business addresses, phone numbers and email addresses listed on those filings, officer names, fleet size and insurer details.
State insurance-licensing records: agent and agency names, license types, NPNs, cities and other details the state publishes.
In select states, public UCC filing records.
We organize and score this information and deliver it to subscribing businesses for business-to-business prospecting. We do not compile consumer credit, health or financial-account information, and the Service is not a consumer report.
4. How we use information
To provide the Service: build your master file, deliver your lists and reports, and run your account.
To send you samples, service messages, invoices and, if you agree, occasional product updates.
To answer questions and provide support.
To secure, maintain and improve the Service, and to prevent fraud and misuse.
To meet legal obligations and enforce our Terms of Service.
5. How we share information
With subscribers: public-record business information about carriers is delivered to subscribing insurance agencies, factoring companies and similar businesses under the license in our Terms. This may be considered a "sale" of personal information under some state laws; see Your choices and rights below.
With service providers who work for us under contract, such as hosting (Render), database (Supabase), payments (Stripe), email delivery (Resend) and CRM tools. They may use the information only to provide services to us.
For legal reasons: when required by law, subpoena or court order, or to protect our rights, users or the public.
In a business transfer: if Docket Signal is sold, merged or reorganized, information may transfer to the new owner under this policy.
We do not sell information about our website visitors or clients.
6. Cookies and analytics
We use cookies and similar tools that are needed for the site and client portal to work, such as keeping you logged in. You can block cookies in your browser, though parts of the portal may not work without them.
7. How long we keep information
We keep account information while your account is active and for as long as needed afterward for billing, legal and record-keeping purposes. We keep public-record data while it remains useful for the Service and refresh or remove it as records change.
8. Security
We use reasonable administrative, technical and physical safeguards, including encrypted connections, access controls and row-level database security. No system is perfectly secure, and we cannot guarantee the security of information sent over the internet.
9. Your choices and rights
You can update your account details or master file at any time in the client portal.
You can unsubscribe from marketing emails with the link in any email.
Depending on where you live, including Texas under the Texas Data Privacy and Security Act, you may have the right to access, correct, delete or get a copy of your personal information, and to opt out of its sale or use for targeted advertising. To make a request, email support@getdocketsignal.com with the subject "Privacy Request." We will verify your request and respond within the time the law requires. If we deny a request, you may appeal by replying to our response.
We will not discriminate against you for exercising these rights.
10. Carriers and agents: correction and removal
If your business or name appears in our records and you want it corrected, or you do not want it delivered to our subscribers, email support@getdocketsignal.com with your USDOT number or NPN. We will correct or suppress the record in future deliveries. Because the underlying records are public, the information may still be available from the government source.
11. Children
The Service is for businesses and is not directed to children under 13. We do not knowingly collect information from children.
12. Changes to this policy
We may update this policy from time to time. We will post the new version here with a new "last updated" date, and tell clients by email or in the portal if the changes are material.
